Space Policies and Guidelines

Mira Hershey Hall, one of the earliest and loveliest buildings on campus, has several beautiful spaces that may be reserved by campus groups as well as the public. These include:

  • Hershey Salon
  • Hershey Hall Foyer and Hershey Hall Hallway
  • Hershey Hall Inner Courtyard
  • Hershey Hall South Courtyard/Arcade
  • Hershey Seminar Room
  • Hershey Meeting Room

Hershey Salon

Location: Room 158 Hershey Hall
Furniture: Six round tables
Capacity (Different set-up styles are available to select from such as the ones below):

  • 120 standing room only
  • 36 table/seated (with standard furniture provided in the room)
  • Up to 80 for theater-style set-up facing south wall

Hershey Hall Foyer and Hershey Hall Hallway

Location: Area located outside of 150 and 158 HH
Furniture: A few chairs available
Capacity (Different set-up styles are available to select from such as the ones below):

  • 25 standing room plus a limited amount of soft seating (Foyer)
  • 15 standing room (Hershey Hall Hallway)

Hershey Hall Inner Courtyard

Location: Courtyard located in the center of the building
Furniture: 3 patio tables where each table has an umbrella and 6 bench seats
Capacity (Different set-up styles are available to select from such as the ones below):

  • 75 standing
  • 18 seated at 3 patio tables
  • 30 theater style
  • 36 table/seated

Hershey Hall South Courtyard/Arcade

Location: Courtyard on the south side of the building near the Plant Growth Center
Furniture: No furniture included except for 3 stone benches
Capacity (Different set-up styles are available to select from such as the ones below):

  • 65 standing room
  • 60 table/seated
  • 60 theater style
  • 3 stone benches, each seating 2

Hershey Seminar Room

Location: Hershey Hall Room 168
Furniture: Includes a table and chairs
Capacity:

  • Seating for 12

Hershey Meeting Room

Location: Hershey Hall Room 164
Furniture: Includes a table and chairs
Capacity:

  • Seating for 14

General Guidelines for All Reservations 

Please submit your reservation request to reserveconferencerooms@lifesci.ucla.edu.

On the form, please indicate a Designated Event Representative for your event. The Designated Event Representative shall remain on-site throughout the event.

Food

The Designated Representative must be on site 15 minutes prior to the scheduled delivery time to meet caterers or food delivery people.

Prep Kitchen

  • Located within the Hershey Salon, the Prep Kitchen contains a commercial-style refrigerator. When not in use/rented, this room is locked. If you need use of the Prep Kitchen during your event, please note this on your reservation request form.

Note: The kitchen is off-master so that if your event occurs outside normal business hours, prior arrangements will need to be made for your access.

  • All items in the kitchen belong to UCLA. You may pre-arrange for the use of some items when making your reservation.
  • To ensure you have the utensils and items you need for your event, we ask that your caterer or Designated Representative take responsibility for bringing them.

Trash

  • Please leave your bagged trash in the main area of the Hershey Salon for pick up by our custodial staff after your event.

Clean-up

  • Remove all leftover food and beverages from tables and wipe down tabletops.
  • Return tables and chairs to their original configuration.

A/V

A large screen, projector, and sound system are available upon request in the Hershey Salon. Please indicate any special A/V needs on your request form.

It is highly recommended that all requestors schedule a time for a run-through and sound check prior to their event.

Temporary signage

Temporary signage for your event should be on an easel or A-frame. We can have A-frames and/or easel made available upon request.

Cancellations

Reservations must be cancelled at least 7 business days prior to your scheduled event/meeting. Cancellation fees will apply.
